Do you use technology or human beings to do transcription?

TranscribeMe uses a hybrid model that combines both. We first use our speech recognition software to digitally enhance your audio and divide it into microtasks, which are sent to our crowd of professional transcribers. After our software combines the transcription segments, they are reviewed by a quality assurance professional to ensure accuracy and consistency before returning the transcript back to you!

What about confidentiality?

TranscribeMe provides best-in-class security and confidentiality. Our process of segmenting audio ensures confidentiality by preventing any one transcriber from having full access to your recordings. Moreover, TranscribeMe’s platform is built on Microsoft’s Windows Azure cloud solution, to securely store your information online.

What are the different ways I can submit my audio for transcription?

There are three ways that you can submit your audio for transcription:

    • Customer Portal: A one-stop-shop where you can upload and store all your audio recordings and completed transcripts in Word, PDF, and HTML format - accessible online 24/7. Beyond uploading files directly from your computer, you can also upload audio and video files via web link or Dropbox through our portal.
    • Mobile Apps: We have a mobile transcription app available for iPhone, Android and the Windows Phone. Our apps lead the transcription space because of their ease-of-use and reliability allowing you to create transcriptions while on the move.
    • Bulk file sharing options – For customers with large volumes of audio, we can help you integrate with our FTP site, or even via API for convenient mass file delivery. Please contact our sales department for further information.

What is your standard turnaround time?

Our standard turnaround guarantee is 0-3 business days (9am-5pm PST timezone) for high quality audio files that are 90 minutes or less. For files between 91 and 149 minutes we ask for 4 business days. Files over 150 minutes will take 5+ business days.

We offer a rush turnaround service in 1 business day (PST), for high quality audio files 90 minutes or less.

If, however, you submit low quality audio our turnaround times may be extended. Turnaround times are an indication for best delivery, however actual delivery varies based on input audio quality and availability of transcribers with matching skills to do the transcription work with high accuracy.

What file formats do you accept?

We accept most digital audio formats. These include: wav, mp3, mp4, ogg, aiff, aif, m4a, mov, wma, avi, flv, 3gp, 3gpp, 3ga, amr, caf, m4v. As a rule of thumb, if you can play an audio file on your computer, we should be able to transcribe it.

Advanced users please note that if your file format is not explicitly supported by the TranscribeMe Portal, you can still try to upload it by renaming the extension to .mp3 and trying the upload again. TranscribeMe continues to add supported file formats over time and we will do our best to process your file.

What will my final transcript look like? Do you have a sample I can view?

How much do you charge?

Our standard pricing is $1 per audio minute for a recording containing 1 speaker and $2 per audio minute for a file containing 2 or more speakers. Our multiple speaker transcripts come standard with timestamps and speakers identified as S1, S2, etc.. As our transcription services are used by a wide variety of professionals including: market researchers, podcasters, professors, corporate executives, and more, our pricing options can be tailored to fit your specific requirements.

Pay As You Go

This option is great for casual users that need transcription services on an infrequent basis. Depending on the number of minutes and speakers, it’s a simple and clear pricing model with no hidden fees:

  • Single Speaker: $1/min
  • Multiple Speakers or Custom Add-Ons: $2/min

For example, if you produce a single speaker podcast, you would be charged $15 for a 15-minute recording. On the other hand, if you are a researcher that would like to have a 30-minute, multiple speaker interview transcribed, it would cost $60.

Bulk and High Volume Order Pricing

This plan is great for more regular users of transcription at the consumer or enterprise level. We provide discounted pricing for large volume orders and/ or continuous usage. Will TranscribeMe sign a Non Disclosure Agreement (NDA)?

Transcription Apps


What type of smartphone is the TranscribeMe app compatible with?

Our iPhone app is available in the app store, the Android app is available in Google Play, and the Windows Phone app is available in the Windows Phone Store. We have short blog posts that explain our iPhone appAndroid app, and the Windows Phone app.

How is the TranscribeMe smartphone different from Siri or Dragon Dictate?

Both Siri (Apple’s personal assistant on iPhone) and Dragon Dictate (another iPhone app) are automated solutions with lower accuracy, even for single speaker audio. Multiple speaker audio, with different accents and levels of ambient noise, is simply not possible to convert using computers. TranscribeMe on the other hand has created a hybrid model that combines both speech recognition technology and human transcribers, to deliver highly accurate transcripts with a rapid turnaround.

I want to listen to my recording again. Can I do that?

Of course! All your recordings are saved on your app, making them accessible offline. You can playback and listen to your recording whenever you like – all you need to do is click on the filename in your list of recordings to reach the audio player. You can also listen to your recordings on the TranscribeMe Portal, by clicking on the recording name. This is a useful feature to ensure your audio is safe and stored in the cloud.

Can I download my audio from my iPhone App?

Once a transcription is ordered, the file is available for download off of our web portal. All you have to do is select “Original audio/video” from the dropdown menu next to the filename in your list of recordings. From there, click “download”.

Can I record phone interviews and have them transcribed using your app?

Unfortunately, this is not possible. We do understand that this would be a great feature to have, however, due to restrictions from Apple and other smartphone vendors, it’s not possible to record calls using the app. If you have an alternative means of recording the call, you may submit the recording to TranscribeMe Portal for transcription. Please keep in mind that different countries, states and municipalities may require consent from multiple parties on the call for the recording to legally take place. Please check the local regulations that apply to you.

What happens if I get a call while the app is recording?

As soon as you receive an incoming call, the TranscribeMe app is automatically paused. Once the call is finished, the app will start recording again automatically.

When I’m recording for more than a few minutes, my screen turns off – is the app still recording in the background?

Yes. Your screen turns off to save battery, but the TranscribeMe App is still recording your conversation in the background.

Advanced user note: On Windows Phone 8, you will need to disable the screen lock while the app is recording. This is a known limitation in the Microsoft Windows 8 platform, and a Microsoft fix is expected to be released by Microsoft shortly.

My recording will not upload, what do I do?

This usually occurs because of a weak internet connection. The best way to solve this is to fully shutdown the app, and find a better internet connection before opening the app again. If that doesn't work, try turning your phone off and then on again.


The Transcription Process


Do you have any tips for recording high quality audio?

High quality transcripts require high quality audio. That is why we recommend you adhere to the following tips:

  • Speak normally, without speeding up or slowing down.
  • Make sure to speak close to the microphone. When there are several speakers, place the microphone in the middle.
  • Try not to have multiple people speaking at the same time, since the transcriber will not be able to make out two voices speaking simultaneously.

98%-100% accuracy sounds great. What’s your process of ensuring this level of accuracy?

TranscribeMe aims to deliver transcripts that are 98-100% accurate. We have a 2-tiered transcription and review process, ensuring highly accurate transcripts delivered fast. First, your audio is digitally enhanced and sliced into smaller segments using our own specialized software, and then our team of transcribers converts your audio into text. Then, our quality assurance personnel review the transcripts before they are sent back to you.

To achieve this level of accuracy, we require clear, audible files. Please see our blog post on creating high quality audio. Also, note that TranscribeMe does not correct grammatically incorrect language on our standard “Clean Verbatim” product. We transcribe the audio the way it is spoken. Our “Edited Text” transcripts, on the other hand, do correct for speech errors. You can select the style of transcription on our checkout page.

For special transcription requirements, please let us know and we’ll work to achieve the quality you’re looking for.

I want only a certain portion of my audio file transcribed. Can I do that?

We transcribe only the full duration of audio files; however, if you would like only a certain portion transcribed, we suggest using Audacity to trim your file. It’s a free and easy to use audio editing software.

What happens if my audio quality is not good?

If the audio file is inaudible, we will notify you as soon as possible. If you would still like to continue with the transcription process, our transcribers will do the best they can, but the transcript will most likely not achieve the high quality we aim to deliver and there could be a delay in completing the transcript.

What can I do to make sure that I receive a highly accurate transcript, fast?

The accuracy and turnaround time is directly correlated to the quality of the audio submitted. Read our list of suggestions to record high quality audio.

Can you transcribe medical/legal audio files? Do you have professionally trained medical, legal, or finance transcribers on your platform?

Absolutely. Make sure that you identify these files as  “Finance”, “Medical”, or “Legal” on the checkout page, so that we can route them to the appropriate transcribers.

Do you offer transcription services in languages other than English?

We currently support English, French, German, Italian, Japanese, Mandarin Chinese, Spanish, Portuguese and Russian language transcription. We also transcribe a number of other languages by special request. Please email us to see if we can support your language needs.

Do you offer translation services?

We offer translation in our core languages of English, French, German, Italian, Japanese, Mandarin Chinese, Spanish, Portuguese and Russian language by special request. Please email us for more details.

Some things to keep in mind with translation services:

  • All translation services require audio to be transcribed first into the language of the recording. To expedite your translation order, we suggest that you first submit the audio file for transcription on our site, and then send us an email requesting translation.
  • Translation between languages other than English may first require translation into English. This is referred to as a “parent language” and is necessary due to the difficulty of finding high quality translators fluent in multiple languages.

Finished Transcript


How do I know when my transcript is complete?

You will receive an email when we complete your transcript with the file attached. Transcripts will also be available for download anytime, directly from the Customer Portal. For transcriptions done via the TranscribeMe app, files will also be sent straight to your phone.

Does the transcript have timestamps? If so, what intervals are recorded?

If you order a single speaker transcript, timestamps are not included. You can contact us to request this at any time though, at a small additional cost. For all multi-speaker transcripts, time stamps are included every time there is a change of speaker.

Do you provide verbatim transcripts? How do you deal with ‘filler words’ (“ahhs” and “umms”)?

Our standard transcripts are what we refer to as “clean verbatim”, meaning we remove all filler words from the transcript for a cleaner document. Please note that TranscribeMe does not correct grammatically incorrect language – we transcribe the audio exactly as it is.

If you would like all speech errors removed, we suggest you select “edited text” from the style category at checkout. If you would like all speech errors, “umms”, “ahhs”, etc. included, please select “full verbatim” on our checkout page. For more details about each style of transcript please see the next FAQ.

What is the difference between “clean verbatim”, “full verbatim”, and “edited text” transcriptions?


Clean verbatim transcripts remove “umms”, “ahhs”, “likes”, “you knows”, and other filler words in addition to stuttering.

Edited text transcripts go beyond clean verbatim transcripts and improves grammar and tenses to make a transcript more readable. We consider these transcripts as publishable.

Full verbatim transcripts capture speech exactly how it sounds. This includes all filler words and speech errors.

My recording contains multiple speakers. Do you provide speaker identification?

Absolutely, our multi-speaker transcripts come standard with speaker identification in addition to timestamps. Speakers are labeled S1 (Speaker 1), S2 (Speaker 2), and so on.

What format will the completed transcription be in?

Your transcript is available in three formats – Microsoft Word, PDF, and HTML.

We also offer SRT files for closed captioning. Please email us for more information.

How will I receive the completed transcript?

You will receive the completed transcript in your email. If you used the TranscribeMe app, the files will be sent straight to your phone as well. Alternatively, you can download your files from the customer portal whenever you need to.

Do you offer closed captioning?

Absolutely! We offer SRT file transcriptions for closed captioning and can also embed the captions into your videos. You can select this feature on the Order page when placing your request for transcription.

What are my payment options?

You can pay via Paypal or credit card on our site. If you have a corporate account with us, we are happy to send you an invoice as well.

What is your refund policy?

If you experience issues with the delivery of your file, we will gladly do what we can to make it right. Please contact us and describe the issue in detail. Please provide the file name, email address used to upload your file, and a summary of the problem. We will review the issue and promptly get back to you, and we will endevour to correct any issues with quality of the output in the finished file. Please note that refunds are not available after the order is placed, as crowd workers immediately begin processing the file and are paid for their work. If we determine that your transcript falls short of our accuracy or turnaround guarantees, and your audio quality meets our minimum standards, we will fix your transcript or provide you with further transcript credit, or in special cases provide a full or partial refund at our discretion.

Do you have an API?

Yes. Please visit our API page to learn more. We have successfully integrated with a number of companies including Evernote, Mindswarms & Livescribe. With a well-documented and robust API, we are always looking to form complimentary partnerships.

It’s been more than two business days since I ordered a transcription. When will I receive my transcript?

If there was an issue with your audio file or order, you should have received an email from us. Please check your inbox, including the spam folder, as well as the customer portal. If there is nothing from us in either of these options, please email us with your registered email id and name of the file. We will get back to you same-day during Pacific Standard Time business hours, or the next business day.

I am not happy with the quality of the delivered transcript. How can I submit it for review once more?

It is paramount for us to ensure your satisfaction with the completed transcript and we are sorry to hear that you are not happy with the final output. Please email us with the name of the file, and let us know how we can improve the quality of the transcript.
