What is the average turnaround time?

How will I receive the complete Medical transcription?

If the file is not required to go through our HIPAA compliant workflow, you’ll receive your transcript through your customer portal.

If the file is required to go through our HIPAA compliant workflow, you’ll receive your transcript through your SFTP account.

What format will the Medical transcription be in?

Transcripts are available for secure download in Word, PDF, and HTML, format in your Customer Portal Account.

You can also select an NVivo formatted transcript at checkout. You will have both Mac and PC formats of this transcript available.

How do I upload or forward my dictations?

If they are not HIPAA compliant, you can upload it directly to your customer portal and you’ll see ‘General’ selected as the default domain, you’ll want to change and select the ‘Medical’ Domain.

  • With timestamps and speaker ID’s - it’s $1.95/minute.
  • With HIPAA Compliant workflows, timestamps, and speaker ID’s - it’s on average $2.05/minute.

What payments do you take?

If it’s HIPAA Compliant, you will be invoiced and you can pay by Credit Card. We take Visa, MasterCard, US-Based American Express.

Is your medical transcription service HIPAA compliant?

You must specifically opt-in for that and will need to talk to our sales team to create your HIPAA compliant workflow.

Do you have any backup facility for your dictation and FTP servers in case there is a crash in your server?

All of our data is stored on secure Azure servers and backed up on a regular basis.

Do your medical transcriptionists sign confidentiality agreements?

Yes, all HIPAA transcriptionists must complete our HIPAA compliance exams and sign HIPAA-specific confidentiality agreements. In addition, our crowd members sign confidentiality agreements for all services.

Will my patient data be kept confidential?

All files are kept within the confines of the clients customer portal and the client and our HIPAA administrators are the only parties in control of that data.

If you have a specific deletion schedule you would like, we can automatically delete your data for you after 30, 60, or 90 days - or you as the doctor or practice provider can do this yourself.

I require a customized transcript for my project. How do I arrange for custom services?

Do you require Speaker names rather than straight identification? Do you require timestamps at a set duration, such as every minute? What is your First Draft Service?

Our First Draft service passes through the initial transcription step, where a team of transcriptionists work on your content in-tandem. This can be returned to you as raw text. We also offer timestamps and speaker IDs with First Draft without the additional layer of editing for punctuation and consistency throughout the transcript, that comes with our Standard service.

First Draft transcripts remove “umms”, “ahhs”, “likes”, “you knows”, and other filler words in addition to stuttering. We do not correct grammatically incorrect language – we transcribe the audio exactly as it is.

First Draft transcripts are completed in 1 business day, or 2-3 business days if you select timestamps and speaker IDs.

Our First Draft service comes with an expected ~98% accuracy, but it is not guaranteed and will vary based on audio quality.

What is your accuracy guarantee and how do you achieve it?

Our Standard and Verbatim service tiers come with an accuracy guarantee of 99% for all audible words in a high quality audio. We monitor the Word Error Rate (WER), which is what our accuracy guarantee is based on. Out of the total number of words, less than 1% of them will be inaccurate.

If a customer is not satisfied with their transcript and has not made modifications to their transcript, we will review the file for the Word Error Rate – and if it doesn’t meet our standards, we will happily redo the file.
